How to Send a Signed PDF to Clients

Once you have signed a PDF, the next step is delivering it to the client. How you send the signed document affects how it is received. This guide covers best practices for professional delivery.

Sending signed PDFs by email

The standard approach is to attach the signed PDF to an email with a professional message. Include a clear subject line that references the document name or invoice number. Write a brief body explaining what is attached.

Example subject line: Signed Service Agreement — [Client Name]. Example body: Please find the signed agreement attached. The document has been signed electronically. Let us know if you have any questions.

For important documents, request a read receipt or confirmation that the recipient received the file. Some email clients offer delivery confirmation features.

File size considerations

PDFs with embedded signature images are typically small — often under 1MB for a standard document. If the original PDF contains high-resolution images, the file may be larger. Most email servers accept attachments up to 25MB.

If the signed PDF exceeds 10MB, consider compressing the original document before signing. Reduce image resolution or remove unnecessary embedded images. The SignPDF tool preserves the original file size since signatures are small PNG images.

For very large files, use a file-sharing service with a download link. However, be aware that links can expire and some recipients may not be able to access them.
